COFFER

Field note

How do you get vendor quotes into HeavyBid in 2026?

Upload the vendor quote PDF to HeavyBid Online, then review the extracted matches, source evidence, and quantity warnings before bringing prices in.

Product details checked against HCSS's Summer 2026 release material on Aug 30, 2026. Confirm the current workflow with HCSS before changing a production estimating process.

What did HCSS add to HeavyBid in Summer 2026?

In its Summer 2026 HeavyBid product release, HCSS demonstrates a quote PDF uploaded to HeavyBid Online. The product extracts prices, matches them to items in the quote folder, shows confidence and source-page evidence, and flags quantity differences. The estimator decides whether to bring the pricing in.

How did the older HeavyBid quote-folder workflow work?

HCSS's earlier quote-folder training video shows the desktop workflow: populate quote folders, enter vendor prices, compare vendors, and select a vendor to update the estimate. Teams still on that path should first test whether the newer online workflow covers their quote formats and handoff requirements.

When should you use the native HeavyBid quote workflow?

The native HCSS path is the direct choice when quote-folder items are ready, extracted matches hold, and updating HeavyBid is the required finish. Test it with real quotes, including revisions, quantity differences, freight, tax, alternates, and partial coverage.

Coffer starts from the contractor's existing material list and workbook. It maps lines across multiple vendor quotes, keeps scope gaps visible, prepares the comparison sheet, and connects confirmed carries to downloadable purchase orders.

Where does Coffer fit beside HeavyBid today?

Coffer works beside the estimating system. It does not replace HeavyBid. Today, moving Coffer's confirmed output into HeavyBid still follows the contractor's current import or entry process. That boundary matters when you compare the two workflows.

What should you test on your own quotes?

  • InputDoes it read the vendor PDFs and revisions you receive?
  • EvidenceCan the estimator see the source line for every price?
  • CoverageAre missing, extra, and partially quoted items explicit?
  • ControlWho confirms the match and the carried price?
  • HandoffDoes the result land in the sheet and system your team uses?

A $300M self-perform civil contractor is moving into deployment after seeing Coffer on their own bids.
